REFUND & CANCELLATION INFORMATION
Refund & Cancellation Policy
This Refund, Cancellation & Service Engagement Policy explains the terms applicable to payments, service cancellations, refunds, third-party expenses, and client obligations relating to services provided by VO Visas. Please read this policy carefully before making a payment or engaging our services.
Last Update: October 15, 2026
1. Professional Retainer & Operational Resource Allocation
Payments made to VO Visas relate to the professional consulting, administrative coordination, documentation assistance, and other services agreed upon with the client. The treatment of such payments is subject to the applicable service agreement and applicable law.
- Service Initiation: Following receipt of payment, VO Visas may allocate personnel, administrative resources, case-management support, documentation specialists, and other resources reasonably necessary to initiate the agreed services.
- Professional Service Fees: Fees may cover consultations, profile evaluations, document reviews, administrative coordination, and other agreed professional services. The services covered by a payment will be determined by the applicable invoice and service agreement.
- Refund Eligibility: Payments are subject to the refund terms communicated to the client before purchase, the services actually agreed upon, and applicable consumer protection and contractual requirements. No provision of this policy overrides a refund right that cannot lawfully be excluded.
- Non-Transferability: Unless otherwise agreed in writing or required by applicable law, payments and service entitlements may not be transferred to another individual.
2. Cancellation Requests & Refund Eligibility
Clients should carefully review the scope, fees, and terms of the selected service before making a payment. Cancellation requests will be assessed in accordance with the agreed service terms and applicable law.
A. Client-Initiated Withdrawal or Change of Intent
- If a client decides to discontinue, suspend, or withdraw from a service engagement, the client should notify VO Visas in writing.
- Changes in personal circumstances, including marriage, family obligations, health concerns, employment changes, financial difficulties, relocation, or a change in destination preference, do not automatically establish entitlement to a refund.
- Any cancellation, refund, or adjustment will be considered under the applicable service agreement and relevant legal requirements.
B. Documentation Failure, Delays, or Misrepresentation
- Clients are responsible for providing complete, accurate, authentic, and current documents within the timelines communicated by the case-management team.
- Incomplete documentation, failure to provide requested information, or delays attributable to the client may affect service delivery and application preparation.
- Fraudulent, forged, altered, misleading, or unverifiable documents may result in suspension or termination of services, subject to the service agreement and applicable law.
- Failure to meet language proficiency requirements, including IELTS, PTE, CELPIP, or Goethe-Zertifikat requirements, or failure to attend a scheduled examination, does not guarantee eligibility for a refund.
C. Consular, Embassy & Government Decisions
- Visa refusals, application rejections, administrative delays, requests for further information, procedural fairness letters, and other decisions issued by immigration authorities are outside the direct control of VO Visas.
- This includes decisions made by Immigration, Refugees and Citizenship Canada (IRCC), the Australian Department of Home Affairs (DHA), the German Federal Foreign Office, and other competent authorities.
- Government processing backlogs, security checks, background verification, and diplomatic or consular procedures may affect application outcomes and timelines.
- A negative immigration decision does not, by itself, establish that the consulting service was not performed. Any refund request remains subject to the agreed service terms and applicable law.
D. Skill Assessment & Credential Evaluation
- Skill assessments and credential evaluations are conducted or determined by the relevant assessing or evaluating bodies.
- Examples may include WES, IQAS, VETASSESS, ACS, Engineers Australia, and other applicable professional or educational assessment authorities.
- Unfavourable assessment outcomes, non-equivalence findings, or changes to eligible occupation lists may affect a client's immigration pathway but do not automatically establish entitlement to a refund of professional fees.
E. Legislative Changes & Force Majeure
- Immigration laws, eligibility criteria, points thresholds, occupation lists, application quotas, and program requirements may change without prior notice.
- Events such as natural disasters, pandemics, border closures, diplomatic conflicts, government suspensions, or significant technical disruptions may affect service delivery.
- The consequences of such events will be addressed in accordance with the service agreement and applicable law. Nothing in this section excludes a remedy that is legally required.
3. Government Fees & Third-Party Expenses
Professional service fees charged by VO Visas are distinct from official government charges and expenses payable to independent third-party providers.
- Excluded External Costs: Unless expressly included in a written service agreement, professional fees do not include government application fees, consular charges, biometric collection fees, visa application centre charges, medical examinations, police clearance certificates, translation services, or skill assessment fees.
- Independent Third Parties: Such charges may be payable to government authorities, visa application centres such as VFS Global or TLScontact, medical providers, translators, or credential assessment bodies.
- Third-Party Refunds: Refunds of third-party charges are generally governed by the policies and decisions of the relevant provider or authority. Clients should contact the relevant provider directly to determine whether a refund is available.
- Payment Records: Clients should retain invoices, receipts, and transaction confirmations for professional fees and third-party expenses.
VO Visas cannot guarantee that a third-party provider will approve a refund. Any responsibility arising under applicable law or an express written agreement remains unaffected.
4. Payment Default, Outstanding Fees & Disputes
Where service fees are payable in instalments or at defined milestones, clients are expected to make payments in accordance with the applicable invoice and written service agreement.
- Missed Payments: Failure to pay an amount when due may result in suspension of ongoing work, postponement of further services, or termination of the engagement, subject to the applicable agreement and law.
- Outstanding Balances: Any unpaid amount will be handled in accordance with the agreed payment terms and applicable legal requirements.
- Payment Disputes: Clients are encouraged to contact VO Visas promptly if they identify an incorrect charge, duplicate transaction, or billing concern so that the matter can be reviewed.
- Payment Provider Rights: Nothing in this policy prevents a client from exercising any statutory rights or using a payment provider's dispute-resolution process where available under applicable rules.
Nothing in this policy constitutes a waiver of rights that cannot legally be waived or a determination that any particular payment dispute is invalid.
5. Non-Transferability & Service Credits
Service entitlements, account adjustments, and any credits expressly granted by VO Visas are subject to the written conditions communicated at the time they are issued.
- Non-Transferability: Service fees and credits may not be transferred to another person unless approved in writing by VO Visas or required by applicable law.
- Credit Validity: Where a service credit is expressly granted with a 90-calendar-day validity period, it should be used within that stated period, subject to the terms communicated at issuance and applicable law.
- Credit Limitations: Service credits are not cash refunds unless expressly stated in writing or required by applicable law.
- Written Confirmation: Clients should retain written confirmation of any credit, adjustment, extension, or exception approved by VO Visas.

7. Policy Updates & Applicable Rights
VO Visas may update this policy to reflect changes in its services, administrative procedures, payment arrangements, or applicable legal requirements.
Any revised version will be published on this page with an updated date. The version applicable to a particular transaction and the enforceability of its terms will be determined in accordance with the relevant agreement and applicable law.
If any provision of this policy is found to be unenforceable, the remaining provisions will continue to apply to the extent permitted by law. Nothing in this policy removes mandatory consumer rights or remedies available under applicable legislation.
